Q: What is HIPE?
A: HIPE is a web-based application that has been designed to meet the needs of sports organisations to record, monitor and report on their High-Performance Athletes.
The application is available 24x7, 365 days a year any where in the world.
The concept of HIPE was to design modules that can be exclusively customised to the needs of your sports.
HIPE does not believe you can design one product to meet the needs of everyone. - Q: How does HIPE work?
A: HIPE consists of standard modules that are closely integrated into one system. Each person is assigned a profile, and depending on the access rights of those profiles, they will be allowed to do certain tasks within the HIPE system. A doctor or medical profile for example can only enter or view athletes that are assigned to them.
HIPE is a centralised repository of information that enables you to monitor and report on the performance, progress, strengths, weaknesses and historical analysis of your athletes 24x7, 365 days a year.
HIPE is fully customised to meet your requirements. - Q: How much does HIPE cost?
A: There is an initial set-up fee. This covers the cost of the consultation to scope design requirements and to customise HIPE to meet those requirements, training and data entry. This fee is negotiated with each organisation. An average cost is NZ$5,000.
Then there is an ongoing monthly license plan fee based on the number of athlete profiles you require.

- Q: Who is using the HIPE system?
A: HIPE has been used by several major sporting organisations, including New Zealand Hockey, New Zealand Cricket, New Zealand Netball and Triathlon New Zealand.
We are currently under negotiation with several other sport organisations.
- Q: How does the weekly rental system work? If I have 46 athletes who want to use the HIPE system do we pay 46 x $2.50 per week or do we have to buy a 50 athlete license plan, paying 50 x $2.50 per week?
A: Sport organisations purchase license plans in blocks of 10. A minimum of 20 is required to be maintained throughout the rental period.
A 50-athlete license plan would need to be purchased to manage 46 athletes.

- Q: What does the monthly rental pay for?
A: The monthly rental covers the cost of maintaining the server, hosting your customised HIPE system, disk space allocations, web traffic allocations, technical support, standard hours support, extended hours support, free phone number, HIPE project team and development staff.
It means you do not require your own support network in place to maintain your own system 24x7, 7 days a week, 365 days a year - we do it for you.

Q: How long does HIPE take to develop and implement?
A: The standard development cycle for customising HIPE to your requirements is 8 weeks from the date of the initial consultation. This covers the specifications, development and implementation of the system.
Throughout this development cycle you will be able to view the changes online with the ability to test and provide feedback straight away.
- Q: What software is HIPE developed in?
A: HIPE is coded in PHP, JavaScript and uses MySQL as its database to store data.
HIPE is hosted on a Linux server.

Q: What security measures are in place to protect the information stored in HIPE?
A: Security is provided at the server and application level.
The server level covers details in relation to the server, firewalls, data centre, operating system, monitoring, recovery, backup and scalability.
The application level covers details in relation to the HIPE software, the design, secure certificate, sessions, the database structure and coding concepts.

- Q: After the HIPE system has been customised for a sport can changes be made? If so what process and cost is involved?
A: Ongoing technical support, development, enhancements or alterations of the package are included in the monthly rental at the sole discretion of HIPE Ltd.
HIPE is committed to ensuring that the HIPE product is adaptable to your needs with the minimum amount of disruption and cost (if any).
Consultation of any changes can be discussed or emailed to any member of the HIPE Project Team. It will then be entered into our job tracking system for assessment on timeframes, resources and costs (if any).

- Q: Can a service provider eg. physio, log in and view all the athletes they treat from several different sports? (instead of logging into many HIPE systems to update athletes progress)
A: Yes it is possible, however this feature needs the agreement of all participating sports organisations using HIPE. HIPE will be raising this issue with the NZ Academy of Sport and participating sports organisations to establish a standard.
- Q: Can the system integrate with the requirements of the Drug Enforcement Agency or the NZ Olympic Committee?
A: Yes it is possible, however these features need the agreement of all participating sports organisations using HIPE. HIPE will be raising this issue with the NZ Academy of Sport and participating sports organisations to establish a standard.
- Q: Can HIPE be integrated into a sports organisations existing database?
A: Yes, as long as it does not compromise the deliver of our services and the security for HIPE.
- Q: How does the 'notes' module work? Can you receive messages from email addresses? Does it receive SPAM?
A: The notes module is not an email (POP or IMAP) service. You do not have the ability to send and receive emails like you would using an external email system i.e. Outlook Express.
Notes allows messages to be sent to recipients who are HIPE users within your system. You must be logged into the HIPE system to see and reply to notes.
The system is SPAM free!!
- Q: How much disk space does each athlete receive?
A: A disk space limitation of 50 megabytes (MB) per athlete. Refer to the license plans for more detail information.
It is estimated that only you will need 5 megabytes (MB) per athlete to hold 4 to 5 years of database information. You would need to upload 4000x100 kilobytes or 40x1 megabytes of images to fill up 40 megabytes of the allocation.
The disk space will be closely monitored to ensure no impacts on the day-to-day operations of your HIPE system and the server.
- Q: Do sports organisations using HIPE have to pay for updated versions of the system?
A: Ongoing technical support, development, enhancements or alterations of the package is included in the monthly rental at the sole discretion of HIPE Ltd.
HIPE will be under continual development to ensure the system is at the forefront of meeting your current and future requirements. It is envisaged that you will not be charged for future versions, as this is covered in the monthly rental.
Some functions will be updated automatically as they will be security or bug fixes of the HIPE system. You will be notified of all changes to the system.
- Q: Do management staff have to pay a weekly rental fee i.e. coaches, trainers, physios etc.
A: No. The only weekly rental cost is for the license plan you have chosen. The license plans are based on athlete profiles only. Therefore you can have any number of support or service provider's profiles.
- Q: Is there a support line for HIPE users to contact if they are having problems with the system?
A: Yes, technical support only is currently provided by email and phone between the hours of 8.30am and 5.00pm NZ Time.

- Q: Is there a minimum sign on period for sports organisations?
A: Yes, 12 months.
- Q: Is there a minimum license plan?
A: Yes, 20-athlete license plan must be purchased for the duration of the rental agreement.

Q: Will HIPE use a sports organisation's 'name' to promote the HIPE system?
A: HIPE would like the opportunity to use sports organisation's names to promote the HIPE application.
This would only be done with the organisation's approval. Any promotions using the organisation's name will be verified before the promotion begins.
As license plans increase, so does the ability of HIPE to deliver a better product and service. Your help in promoting this product will benefit you in the future.

Q: Can you load video files onto HIPE?
A: Yes, you can load any file format on to the server to run as a plug-in through a browser or to download and play locally. Mpeg (mpg) or avi file formats will play on our server.
The HIPE server does not have video streaming capabilities that are generally needed to run hi-format video files like wmv formats. This is being looked at for the future. -
Q: Can you access HIPE from a PDA?
A: HIPE is not WAP compatible at present, but this is being assessed as a future module.
